Partial validation of sale quotation lines

Split quotations and orders

Split quotations and orders: enable this option in the Sales module settings to be able to partially validate quote lines. By default, this option is disabled.

Access: Application config → Apps management → Sales, configure → enable the option “Split quotations and orders”

After enabling the option, you must reload the browser for the change to take effect.

Sale quotation

Access: Sales → Sale quotation

  1. Open a sale quotation file.

Enabling this configuration will separate the quotation from the order.

Once the option is activated, you will only find three statuses on the sale quotation file:

  • Draft quotation;

  • Finalized quotation;

  • Cancelled

The statuses “Order confirmed” and “Order completed” are not available for sale quotations. Please note: the order will be found on another tab.

  1. Fill in the necessary information (customer, etc.).

  2. Order line: add several products. For example, 10.

  3. Finalize: click on the “Finalize” button to finalize the order.

  4. Confirm order: then confirm the order.

  5. When you click on “Confirm order,” a ‘Confirm’ pop-up window will open. Here, you can validate the desired quantity and perform a partial validation. You have several options available in the “Sale order lines” table:

  • Order all: check this option to order everything (you must do this for each line if you have several lines in the table).

  • Qty to order: in the case of a partial validation, enter the quantity to be ordered. For example, indicate the quantity of 5 products (out of 10).

  1. Generate the order: still in the “Confirm” pop-up window, click on the “Generate order” button.

  2. Order: following this action, an order is generated and a new window opens. At the same time, the quotation is updated to reflect the quantities that have been ordered.

You will notice that the quote and the order have the same number, however, the order number will also have an increment. For example:

The quote number is SO0013

The order number is SO0013_1

Reference: on the order form, in the Reference section, you will find the original quote with its number.

Child order: note that it is possible to find orders generated from the quote. To do this, open the “Child order” tab.

Partially ordered: when you have placed a partial order, you will notice a new label on the quote, “partially ordered,” to indicate that the quantities have been partially ordered.

On the Customer sheet, in the Customer tab, you will find two sections: Quotations and Orders, with the quotes and orders related to that customer.

When the “Split quotations and orders” option is enabled, quotes are separated from the orders. Otherwise, quotes and orders will be combined in a single table.

This approach is also applied to print reports (provided that the order has been invoiced).
