Timesheets

Access: HR → Timesheets

Upon opening the timesheets, you will find a list of available timesheets, that are visible to HR employees. Each timesheet corresponds to an employee. Within each timesheet, you will be able to view the entry dates, timesheet lines, and a total number of hours per day for a period.

You will find the following buttons when adding a new line on the Timesheet line table:

Confirm: the timesheet is confirmed and awaits validation.

Confirm & Continue: the same action as the one above and it opens a new timesheet.

Cancel: you can decide to ultimately cancel this timesheet.

Completing Your Timesheet

Entering Time: the employee is supposed to enter time (access: MyHR → Employee dashboard → click on the "I am at work" button).

I am at Work: clicking the "I am at work" button allows the employee to start the stopwatch by clicking on the Stopwatch button in order to track tasks.

Timesheet Lines: the user can add new lines directly in the Timesheet lines table. It is necessary to select a project of which the user is a member, the task is related to the project, mandatory date, task, number of hours for the day, and click on "Confirm". If you work with the project management, it is possible to check the box to bill for the time that has been spent on the project.

Timesheet Editor: an editor is also available to facilitate the entry of timesheet lines (adds an editor that helps to enter the time directly on a schedule). Activate it in the configurations of the Timesheet app (access: Application Config → Apps management → Timesheet Management, Configure → activate the "Timesheet editor" feature).

Once you have finished filling out the timesheet, the HR team will retrieve it (access: HR → Timesheets) and proceed to validation.

You will find several levels of configuration for timesheets. Find following fields on the timesheet application configuration (access: Application Config → Apps management → Timesheet Management, Configure) :

  1. Invoicing Type for Log Times: this option allows you to choose if the timesheets will be billed according to the activity used on the lines of the timesheets, or according to the activity defined by default on the employee's form.

  2. Consolidate timesheet line on invoice: this option will consolidate the timesheet lines by activity on the invoices to make it more readable.

  3. Start&Stop: this option offers the possibility to use an integrated start&stop on the timesheets to calculate exactly the time spent on the activity.

  4. Keep Project for Start&Stop Timer: when this option is enabled, the last project that was used with the Start&Stop, will automatically resume when you restart the Start&Stop.

  5. Edit Start&Stop Timer On Stop: if the option is not activated, once the stopwatch is stopped, the created timesheet line is in read-only mode and you cannot modify it. When active, this option allows you to edit the line.

  6. Timesheet default end date format: define whether the end date of a timesheet will automatically be at the end of the week or the end of the month.

  7. Create lines for day leaves/public holidays: allows to automatically generate lines on the timesheet for public holidays or days off.

  8. Timesheet Editor: this option enables a "graphic" editor on the timesheets that allows entering times directly on a schedule.

  9. Timesheet reminder template: when this option is enabled, select an email template for timesheet reminders.

You can also configure the Timesheet tab at the level of the Employee Management app.

Access: Application Config → Apps management → Employees Management, Configure → click on the company file

  1. Use a unique product for Timesheet: if you check this box, you can choose a unique product that will be filled automatically on the timesheets. This product corresponds to the "activity" field. The user will then not have the choice of activity.

  2. Timesheet Templates: activate the sending of notifications for timesheets. By activating it, you can select up to 4 templates.
