Accounting reports
Introduction
An accounting report allows you to gather the necessary information (dates, product consumption, closing, VAT, etc.) for the purpose of accounting within a company.
Axelor offers many types of accounting reports to meet the needs of your company.
Creating an accounting report
Access: Accounting → Exports/Accounting reports → Accounting reports
-
Company: enter the company for which the accounting report is being created.
-
Cut-off date: enter the cut-off date.
-
Report type: select the report type, for example, Aged Balance.
-
Export type: select the export type (PDF / XLSX / ODS).
-
Period: enter the information in the Period section (fiscal year / period / dates). The most commonly used period is the monthly period.
The “Fiscal year” field is not mandatory.
- Filter: the “Filter” tab allows you to filter the accounts.
-
Origin currency: when you want to filter by currency, select the currency. For example, you want to print the aged balance with invoices in dollars.
-
Journal: select the journal if necessary. This option is non-compulsory.
-
Accounts: select the financial accounts (you can select several). For example, if you select accounting accounts 411, you will have an aged balance for customers only.
-
Partners: select the third party (you can select more than one).
- Tags: in the “Tags” section, select tags or general ledger account tags. For example, you can apply a “Key account” partner tag.
Tags can be configured in advance.
- Printing information: define the print rules.
- Amounts: you can choose to display a detailed amount.
- Moves: select which entries will be displayed when printing.
-
Move statuses: select the statuses of entries that will be visible when printing.
-
Display closing accounting moves: enable this option if you want to display closing entries.
-
Display opening accounting moves: enable this option if you want to display opening entries.
- Print: click on the “Print” button to print the report.
Analytic general ledger
The Analytic general ledger is used to analyze all amounts associated with analytical entries on the same axis/analytical account.
When entering accounting moves (entries), the analytical features must be enabled on the financial account (on a financial account, in the Settings tab, enable analytic distribution and select the analytic distribution model).
Once these settings have been configured, you will be able to view the Accounts and analytical journals with the axes in the dedicated table, and you can add another one by clicking on +.
- Filter: when you are on the Analytical Balance sheet accounting report form, you can filter by several criteria. For an Analytical Balance sheet, it may be useful to filter by analytical accounts/axes rather than by journals. However, if you want to print all the information, there is no need to filter.
Revenue and expenditure state
- Report type: select the report type. For example, “Revenue and expenditure state”.
In order to print the “Revenue and expenditure state” report, the expenditure budget must be validated. As for invoices, they must be broken down.
-
Period: in the period section, enter the period and fiscal year.
-
Budget: if you want to filter by budget, select a budget in this field. Otherwise, the report will include all budgets.
When printing, the difference will be updated when the expected amount is less than the actual amount.
Other features
Depending on the type of report, the user will be able to fill in other fields specific to these types of reports.
- Comparative balance: in the General Balance (Ledger), you can activate the “Comparative balance” option. The comparative balance allows you to compare one year to another.
- Comparative period: when the “Comparative balance” option is activated, fill in the “Comparison period” section.
