Internal Purchase Request

Create an internal purchase request

An internal purchase request can be made from the menu Purchases → Internal Purchase Requests.

On the internal purchase request form, you will find:

  1. By default, the stock location and the company are automatically filled in.

  2. It is possible to select a product from the repository or request a new non-existent product by indicating the product label. Click on +New to add a purchase request line.

  3. Determine the unit of the product and its quantity.

  4. Determine the stock location which will be retrieved in the quotation.

  5. Define the desired supplier.

  6. Request : once you have entered the necessary information, you can make a request by clicking the “Request” button. The request changes to “Requested” status. The Requester field is automatically filled in by the user who initiated the request.

  7. In the “Requested” status, you still have the possibility to modify your purchase request lines.

  8. Accept: subsequently, the responsible person must accept your request by clicking the “Accept” button.

  9. Once the request is accepted, you can create a quotation from this internal purchase request. The Validator field is automatically filled in by the user who accepted the request.

Request: changes to “Requested” status to ask for validation of your request.

Cancel: changes to “Canceled” status (it is possible to cancel in the following statuses).

Accept : changes to "Accepted" status.

Generate a supplier quotation from an internal purchase request

You can trigger the generation of the supplier quotation using the Generate PO button from the list view of purchase requests, in the toolbar.

To generate one or more supplier quotes with the Generate PO button from the list view:

  1. Select the purchase requests to be processed.

  2. Click the Generate PO button. A popup window opens.

  3. You will have the option to group a quotation by supplier and/or by product by checking the corresponding boxes.

  4. The quotation is then created and displayed in a new tab. You will find a line with the purchase requests in the Detail table (Content tab).

  5. Once the request is processed, it should be canceled or marked as purchased using the buttons available from the form view.

Workflow of an internal purchase request

In the “Requested” status

  1. Enter a requester in the associated field.

  2. You have the option to accept / refuse / cancel the request.

  3. You have the option to modify the content of the purchase request lines.

In the “Accepted” status

  1. You have the option to change to the “Purchased” status or cancel the request.
