User management

User settings

Access: Administration → User management → Users.

User settings offer several main advantages:

Data security: by setting user parameters, the ERP allows specific access rights to be defined for each user or group of users.

Personalisation of the user experience: each user can have an interface and functionalities that are adapted to their needs and their role within the company.

Monitoring and responsibility: the allocation of unique user accounts makes it possible to monitor the actions carried out in the system.

Operational efficiency: by limiting the functionalities accessible to each user, according to his or her needs, the ERP avoids information overload and simplifies workflows.

Training and adaptability: personalised access makes it easier to train users, as each person learns only the functionalities relevant to his or her work.

Managing role changes: user settings can be easily modified to reflect changes in role or responsibilities within the company.

Create the user file

Access: Administration → User management → Users.

Start by creating a user and then fill in the general information.

  1. To create a user, simply go to the menu Administration → User management → Users.

  2. You will find several pieces of information to fill in on the user form:

  • The name and username.

  • Email: adding an email address will result in automatically sending an email so that the user can choose their password.

  • Associate a group (more information in the chapter on rights).

  • Location.

  • The theme of the application (Light or Dark).

  • Home action: define whether you want the user to visualise a dashboard, for example.

  • You can also define authorisations for the user further down the form (Authorisation section).

  • Password.

Generate random password: activate this option if you wish to generate a random password.

Send email upon password change: activate this option if you wish to send an email once the password is changed (email will be sent to the user who will be able to change the password himself).

  1. You can also force the user to change their password. All you have to do is enter your password and choose another one for the user. The user will then be able to receive a confirmation email after changing their password.

  2. It is also possible to define roles manually for the user in the dedicated sections (Roles / Authorisation / Permissions on the user's file).

In the Authorization section, several fields are available:

  1. Activate on / Expires on: these fields allow you to activate an account for a given period.

  2. Block the user: if necessary, you can block a user.

At the bottom of the user's file you will find additional items to fill in:

  1. Employee contact information (number, email etc.).

  2. Companies that are associated to the user.

  3. A team that is associated to the user.

  4. The calendars that are associated to the user (for example: Outlook or Gmail synchronisation).

  5. The user's electronic signature settings.

  6. The list of projects that are associated to the user.

  7. The email signature settings.
