Sale order tracking on the business project

Attach a business project to an order

Business project tab: from an existing order, on the Business project tab, it is possible to attach an existing business project rather than generating a new one (even though it’s still possible).

It’s also possible to generate tasks and sub-tasks in the same way as when you generate a business project.

You can even generate a sale quotation from a business project file.

Track a customer order from a business project

What are the steps that are involved in tracking customer orders ?

Access : Project → Project / Business project → +

  1. Open the Project file. Fill in the necessary information and add tasks in the task tab.

  2. Task tab: In this example, in the Task tab, you will find the ‘Feasibility Study’ task, which consists of a Project Manager with Research and Meeting sub-tasks.

There will be a task tree in a Task tab on a Business project file.

  1. Sales tab: Click on the Sales tab. Here you will find the various panels dedicated to sale quotations and orders (quotation / sales order / order line / customer delivery).

  2. Generate quotation: on the Sales tab, click on the ‘Generate quotation’ button.

  3. You will be redirected to the quotation form.

  4. Quotation: on the quotation form, the customer is automatically filled in, as well as the business project in the Business project tab.

  5. Content: add a detail line in the Detail Line table. Click on +.

  6. Sales Order Line: by adding a detail line, the Sales Order Line pop-up window will open. Or, if you use a quick line filling available directly in the Detail line table and you wish to open the Sale order line window, select a line and then click on ‘Edit’ in order to open it.

  7. Product: select a product. Here, it is the Project Manager service. Click on OK.

  8. Stock location: if required, enter the stock location in the Delivery tab.

  9. Save the changes you have made.

  10. Finalize: on the quotation form, click on ‘Finalise’.

  11. Finalized quotation: the status of a sale quotation changes from ‘draft quotation’ to ‘finalized quotation’.

  12. Return to your Project file. Refresh the page.

  13. Sales tab: on the project file, in the sales tab, you will find the sale quotation you have created. This sale quotation can be found in the Sale quotation panel. You will also find an old order in the Customer order panel.

  14. Go back to the sale quotation file.

  15. Confirm the order: click on the ‘Confirm order’ button. If you have not entered the stock location in the Delivery tab, an error will appear.

  16. Confirmed order: the status of the sale quotation changes to ‘confirmed order’. The sale quotation becomes an order.

An Information message will appear indicating that a delivery note has been generated.

  1. Return to the Project file. Refresh.

  2. Sales tab: open the Sales tab. Here you will see that the quotation has changed from the Quotation panel to the Sales Orders panel.

  3. Delivery tab: if you go back to the quotation/confirmed order file and open the Delivery tab, you will see that the delivery has been scheduled automatically.

Access: Application config → Apps management → Supplychain, configure → activate the option Generate customer deliveries automatically.

Then click on the Company file. In the Company configurations, activate the option Generate outgoing moves for services in order to keep record of delivered services.

  1. View order lines: on the project file, on the Sales tab, click on this button to access the list of orders associated with the client and the job.

In the Sales tab, you can easily navigate between sale quotations and orders. You can also view an order directly by clicking on its file.

  • Customer Deliveries: you can also confirm a reception of a sale order by clicking on a file in the Customer Deliveries table (found in Sales tab, at the bottom of the page).

Once you have clicked on the file, click on the Realize button to carry out the stock movement.

Save the modification and refresh the page so that the information is taken into account. As a result, you will be able to see the deliveries made and planned in this table.

  • Add tasks: add tasks from a quotation or a sales order (associated with a specific user who manages the business project).

On a customer quotation, click on the Business project tab. Then add one task per line in the Project generation method field. Select a project in the Project field.

If you then click on the Fill Project button, the task will be generated.

Return to the Project file. In the Task Tree tab, you will find the new task.

caution

When a sale order has an already attached business project or when you complete the field ‘Project’ with a project , the button ‘Generate project’ will change its name to ‘Fill Project’.
