Internal stock moves

Find internal moves in the Stock app.

Access: Stock management → Internal stock moves → +

On the Internal stock move sheet you will find:

  1. A banner with the following statuses: Draft, Planned, Realized, Cancelled, Merged.

  2. Type: select the type (internal move / outgoing move / incoming move ).

  • Internal move: this is a stock location within the company.

  • Outgoing move: these are moves from the company to a customer. The default source location will be the one defined in the company stock configuration “Pickup default stock location” (i.e. default shipping location). The default destination stock location will be the one defined in the “Customer virtual location” company stock configuration. In this case, this field is located in the Configuration tab.

  • Incoming move: These are moves from a supplier to the company. The default source location will be the one defined in the company stock configuration “Supplier virtual stock location”. In this case, this field is located in the Configuration tab.The default destination location will be the one defined in the company stock configuration “Receipt default stock location” (i.e default location for reception).

  1. Enter the company.

  2. Partner : if it is a move which concerns a partner (other than an internal move), enter the partner (i.e. third party).

  3. From stock location: this is a starting location, where the stock is located before the move is carried out. For example, the main warehouse.

  4. To Stock Location: refers to the destination of the stock after the move has been completed. For example, receipt of the goods.

  • Filter on available products: once activated, this function will prevent the selection of products that are not on the source stock location.

  • Estimated date: the date is filled in on the current date if the move is created without a context or according to the context, if the item is created from an order.

  • From address: “from address” field is the original address. This field is automatically filled if the address of the source stock location has been entered (for example, the address of the main warehouse). If there is no address, it is possible to enter the address in the “To Address” field. This is particularly useful when you are moving goods externally (remote stock). In case of a delivery note/receipt slip, either the address will be filled in automatically, or you can select from several addresses by taking the information from the partner file.

The status, type, partner (in the case of a move other than an internal move) and company are compulsory elements which must be filled in in order to be able to carry out a stock move.

Internal move lines

Once all the information has been entered on the Internal stock move sheet, open the Internal move lines tab.

  1. Click on +.

  2. Give a title if necessary (for example, “Parcel 1”, without having selected a product).

  3. Expected quantity takes the value from the real quantity.

  4. Click on “Confirm”.

  5. Add a new line and select a product.

  6. Filter on available products: if the “Filter on available products” option is activated, only available products will be displayed in the drop-down list when the product is selected.

  7. Invoiced quantity: the “Invoiced quantity” field is filled in at the time of invoicing.

  8. Unit price: in the case of an internal move, the “Unit price” field will include the PMP of the location. In addition, the unit price includes the selling price in the case of a delivery, and in the case of a receipt, it includes the purchase price.

  9. The unit is taken from the default product storage unit. If another unit is defined, then when the move is carried out, the system will try to convert the quantity into the storage unit in order to decrement or increase the stock accordingly. If there is no unit conversion, then a message will ask the user to define this conversion.

  10. Net mass: is indicated on the product sheet.

  11. Tracking number: must be entered for a product that uses the tracking number.

Access : Stock → Configuration → Tracking number

You can also activate barcodes for tracking numbers in :

Application config → Apps management → Stock, configure → enable the “Enable barcode generation for tracking numbers” / and in addition you can enable the “Specify barcode type per tracking no. configuration” feature.

  1. Conformity: product conformity is used when the product is received.

  2. Availability: product availability in this field you will find information about the availability of the product (missing or available).

Plan move

  1. Plan : once you have completed the ‘Internal move’ form, click on the “Plan” button to plan the move.

  2. The status will change from Draft to Planned.

  3. Available : the product availability label will appear (the green label marked “Available”), and it’s visible on the stock move sheet and in the list view. This means that all products in the internal move lines are available.

  4. Partly available : however, if there is a product missing from the internal move lines, the message will change to “Partly available”.

  5. Unavailable : if no product is available, the label will be red and marked as "Unavailable”.

Freight carrier tab

The Freight carrier tab is primarily used for deliveries, although it can also be used for internal moves to remote stocks.

  1. Shipment mode: select a shipping method. For example, select between home delivery / international home delivery / relay point delivery / express home delivery.

  2. Freight carrier mode becomes selectable once the shipping mode has been defined.

  3. Carrier: depending on the shipping/carrier method, this field may be filled in automatically. This information can also be taken from the sales order.

  4. Tracking number: this is not a product tracking number, but a shipment tracking number.

  5. Mode of transport: select sea/rail etc. This is a default selection, and can be configured by an admin. The mode of transport is for information purposes only.

Configure the delivery mode according to your needs.

Access : Stock management → Configuration → Shipment mode

On the shipment mode sheet, define :

  • Whether it is possible to have carriage paid.

  • Then enter the delivery charges in the dedicated field.

Configure the carrier and the freight carrier mode beforehand, so that you can apply them on the Shipment mode sheet.

  1. Incoterms: in this section, define the breakdown of costs. Configure Incoterms in the menu. Access: Stock management → Configuration → Incoterms

  2. In the freight carrier tab, determine the number of packages and the number of pallets. Enter the gross weight. This information will be displayed during editing.

  3. Certificate of conformity: activate this box when you need a certificate of conformity for the customer. By activating the “Is Certificate of Conformity signed” box, you will be able to add an electronic signature. Then, by clicking on the “Reports” button at the top of the taskbar, you will be able to print the certificate of conformity.

Add more information to the Certificate of Conformity. This information will be displayed when the certificate is printed.

Access : Application config → Apps management → Stock, configure → click on the company file → in the Certificate of conformity section, add a title and a signature by default.

It is also possible to add text to the Certificate of Conformity printout.

Default signatory user: add a default signatory user.

This is also where you will find the "Stock move printing settings" section. Activate the options according to your needs in order to define which elements will be displayed when printing stock moves.

Save your changes.

For a delivery (to the customer), you need to print a delivery note.

For a reception, you will need to print a receipt slip.

It is also possible to print a preparation slip for those who will prepare the order for a customer delivery (stocks → customer delivery → reports). :::

  1. On the Stock configuration by company page (Access : Application config → Apps management → Stock, configure → click on the company file), in the Printings section, fill in the fields. These fields use the BIRT templates (Application config → BIRT printing → BIRT templates).

  2. Print internal move : print an internal move. On the Internal stock move sheet, click Reports and then click on “Print internal move”.

Following Fields are retrieved from the sales order :

  • Shipment mode

  • Freight carrier mode

  • Carrier

  • Forwarding agent

  • Incoterm

  • Tracking number (shipment)

  • Mode of transport

  • Terms of delivery

  • ISPM15 standard: used to indicate that the order requires processing

  • Certificate of conformity: used to print the certificate of conformity

Effects of moves on the AWP

For each move, the AWP (Weighted Average Price) of the products that have been moved to the destination location are recalculated using the elements of the move on a weighted average basis and expressed in company currency.

The AWPs of the source locations do not change; it is their valuations that change because there are fewer products. AWP = ((initial AWP * initial qty)+(mvt AWP * mvt qty)) / (initial qty + mvt qty). The move AWP corresponds to the value of the “Price used for AWP” field in the move line if it is defined.

Otherwise, the “Company Unit Price without tax” field will be used, which is the conversion of the ”Unit Price” field into the company currency, when the latter is not in the company currency.

If a product has been entered at the wrong value, this will lead to an incorrect valuation of the cascading average prices, especially if there is manufacturing with a product valuation that includes more than material costs. This problem can be corrected. Simply revalue the average price at the stock location where the error was detected (this should be done quickly).

However, if the error was detected late, it would theoretically be necessary to go back to the AWP values before the error and replay the stock moves in order to estimate the AWP value correctly. Many companies correct the effects on direct stock locations, but do not, for the sake of simplicity, revalue the cascading elements (manufacturing orders , sales margins, etc.).

Example of a supplier receipt (part I)

Access : Stock management → Arrivals → Supplier arrivals → +

  1. Fill in the essential information.

  2. In the “To stock location” field, enter Receipt for example.

  3. Define a partner.

  4. Select the origin address (“From address” field)..

  5. In the Incoming move lines tab, enter the Incoming move lines. In the example, this is the SATA hard disk, with a planned quantity of 200 and an actual quantity of 200.

  6. Click on “Confirm”.

  7. Next, add another line, this time SSD hard disk with a planned quantity of 100 and an actual quantity of 100. Click on “Confirm”.

  8. Click on “Plan” to schedule the move.

  9. Click on the “Realize” button to complete the move.

  10. When the move has been completed, you can view the AWP. Click on “Receipt” (or any other stock location that has been selected) in the “To stock location” field to view the information.

Internal move after receiving the goods (part II)

Access : Stock management → Internal move → +

  1. Fill in the essential information.

  2. For example, in the “From stock location” field, enter: Receiving.

  3. In the “To stock location” field, enter “Main warehouse”.

  4. In the “Internal move lines” tab, enter the product. In the example, it is a SATA hard disk. Indicate the same quantities as for receiving (200). Then add a second line, this time SSD hard disk with a forecast quantity of 100 and an actual quantity of 100. Click on “Confirm”.

  5. If you click on “Main Warehouse” in the “To Stock Location” field in order to view the information, you will be able to view the quantities with their respective AWPs.

When you are in the “Stock location” window (in the example it's the Main warehouse), remember that it’s always possible to consult the AWP history.

Click on a product line. The “Stock location content” window will open. At the bottom of this page you will find the “Stock location line history” table. In this table, you can view the dates and the AWP following a move (‘Origin’ column).

Default stock location

Define the default stock locations by company.

Access : Application config → Apps management → Stock, configure → click on the company file to access the company's Stock configurations.

On the Company Stock Configurations page, determine the default stock locations, which is broken down into the following sections:

Virtual stock locations information :

  • Customer virtual stock location: default location for customer sales.

Stock moves necessarily have an origin and destination location, but in the case of a delivery note, you are not going to detail all the stock locations of your customers, in which case a Customer virtual location will be used.

  • Supplier virtual stock location.

  • Virtual inventory stock location.

  • Virtual production stock location.

Stock move information

In this section, define the default stock location in which goods are received or from which goods are dispatched. For example:

  1. Receipt default stock location (for example, the main warehouse).

Access : Stock management → Stock location

In order to be able to select a receipt stock location, the “Usable on purchase order” box must be activated when configuring such a location.

For a manufacturing stock location, it must be usable for production etc.

  1. Waste stock location

  2. Direct order default stock location

  3. Pickup default stock location (e.g. main warehouse).

  4. Components default stock location.

  5. Quality control default stock location.

  6. Finished products default stock location (for example, the main warehouse).

  • Return Surplus: activate this feature in order for surpluses to be returned automatically.

  • Manage backorder: activate this option to generate backorder stock moves on your moves when all lines are not complete (when the actual quantity is less than the planned quantity).

Supplychain Configurations

Access : Application config → Apps management → Supplychain, configure

The Supplychain app is used to manage Delivery notes and Receipt notes.

  1. Customer deliveries management : in the “Sales order” section, activate the box “Customer deliveries management”. It will allow to generate customer deliveries from sale orders and stock management.

  2. Generate customer deliveries automatically : if you activate the “Generate customer deliveries automatically” feature, the delivery notes will be generated automatically when the sales order is confirmed.

  3. Supplier arrivals management: in the “Purchase Order” section, activate the “Supplier arrivals management” box. You will be able to generate supplier arrivals from purchase orders and stock management.

  4. Generate supplier arrivals automatically : when this feature is active, the delivery notes will be generated automatically when the supplier order is confirmed.

  5. Configurations by company: click on the company file to access the configurations by company. Depending on your requirements, activate the following boxes :

  • Generate out. moves for services (delivery notes)

  • Generate inc. moves for services (receipt notes)

When these features are active, you can invoice services in the same way as you do for items. The “Generate out. moves for products” and “Generate inc. moves for products” boxes are activated by default.

Separate the shipment operations

Access : Application config → Apps management → Stock, configure → activate the option Separate shipping operations.

Save the changes you have made and refresh the browser page. This option adds the following menu entry:

  1. Availability Request in the Sales app. Once a quotation has been finalised and confirmed, and once a delivery note has been generated, the sheet for a planned stock move will open. In the Availability Request menu, sales staff can see which order has a preparation slip and track its preparation.

Two options become available on the stock move sheet:

  • Availability request: this function enables the salesperson to decide which delivery note should be prioritised according to availability (delivery notes to be prepared as a priority). The request will appear in Stock (Access : Stock management→ Deliveries → Customer shipments to prepare). This request is also visible from the Availability Request menu.

  • Pre-prepared order : once the order has been prepared, the sales assistant can activate the “Pre-prepared order” function. Activating it means that the order is ready to be dispatched. On the Stock move sheet, click on the "Realize” button to dispatch the order.
