Stock location

Access : Stock management → Stock location

Open the “Stock Locations” menu and find the list of stock locations, such as “Customer” or “Main Warehouse”.

Create a new stock location

Access : Stock management → Stock location → +

  1. Click + to open the “Stock location” file.

  2. Enter a name. For example, Reception.

  3. Define a type: internal / external / virtual. For example, internal.

  • Internal: type of stock that is physically located within the company. This type of location is valued and cannot have negative stock.

  • External: the stock is not physically within the company. It cannot have negative stock.

  • Virtual: these are not physical locations. However, they are necessary for the ERP system to function properly. Virtual stock is used to manage incoming and outgoing stock. In other words, when stock arrives at the company, it corresponds to a receipt. It's stock that moves from the supplier to the company. However, you do not manage the quantity of supplier stock, so this stock is considered to be a virtual storage. Locations of this type are not valued and can have negative stocks. The advantage is to be able to have negative values, particularly for the supplier.

  1. Parent stock location: in this field, associate a parent stock location. The aim is to be able to create a tree structure representative of the organisation. There is no limit to the number of levels, and this allows you to create increasingly finer zones, depending on the needs of the company. In addition, the advantage of setting up a tree structure is that stock data (quantity and value) can be aggregated on the parent location, whether for editions or content. In the example, “Parent stock location” is the main warehouse.

  2. Select a company.

  3. Enter an address. This is particularly useful for external locations. This information will be retrieved during editing.

  4. Include out of stocks products: tick this box if you wish to include products without stock. When this option is activated, there will be lines for products that have been in this stock location, but whose current quantity and future quantity are 0.

  5. Stock valuation: reflects the valuation of this location.

A new feature is available since version 8.0:

Valuation report of stock locations : valuation report of locations now available to date, not just to the current date.

You also have the option, when generating a report, of breaking it down by stock sub-locations.

  1. Click on print.

  2. Select "Location financial data" in Printing type field.

  3. If necessary, tick the checkbox "Without details by stock location".

Please note that the stock location valuation field gives the valuation of the stock in the direct location. :::

  1. Save the changes you have made.

Stock location tree

Access : Stock management → Stock location → In the list view, click on the “Stock location tree” button to open the Stock location tree page.

  • On the “Stock location tree” page you can view the current tree structure. For example, “Main warehouse” contains “Reception”.

  • In addition, you can drag and drop an item and reorganise the current tree structure.

Stock location & activate barcode

Once you have saved the changes that have been made, a barcode will be generated. It is entirely possible to modify it. You can enter a serial number and then save the page again. A new barcode will then be generated.

Activate barcodes beforehand in the Stock app config.

Access: Application config → Apps management → Stock, configure → activate the option “Activate bar code generation for stock location” and/or activate the option “Specify the barcode type by stock location” if you have different types of barcode per location.

  • In the “Stock location” section, activate the “Activate bar code generation for stock location” option. Activating this function allows you to define the type of barcode applied to the stock location.

  • Enable the “Specify the barcode type by stock location” option in case you have different barcode types per stock location.

Tabs on the Stock location file

There are three tabs on the stock location sheet:

  • Location content

  • Stock location details

  • Configuration

Configuration tab

Several uses (moves) in the form of checkboxes are possible on the location:

  • Usable on sale order: this is a shipping location. It can be used to make deliveries to or from this location.

  • Usable on purchase order: this option allows you to receive goods from or to this location (i.e. from a supplier to the company + return moves). For a reception stock location, this option must be activated in order to be able to receive from or to this location.

  • Usable on production: this option allows you to consume or release products from or to this location.

  • Direct order stock location: this is an intermediate location. The goods will be received to this location and delivered from this location. This enables invoicing based on receipt and delivery moves in case of a delivery to a customer directly from the supplier.

  • Don't take in consideration on MRP: for example, you have a location for waste, and you do not want the MRP to take into account the products in this location, as they are faulty products.

-Don't take in consideration for the stock computation: with this feature active, it will not take into account the calculation of available stock. For example, some companies will consider parts in receiving inspection to be not yet available, as they cannot yet be used and considered to be good.

  • Include virtual sub location: this option allows you to display virtual sub-locations. In case of a virtual location, the “Virtual” checkbox is deactivated and hidden by default.

  • Valued: tick the box to indicate a valued location. This box can be checked / unchecked by default depending on the type of location. You can define an internal location as valued / or, on the contrary, deactivate this box and make an internal location non-valued.

Location content tab

In the “Location content” tab, you'll find a Location line table. In this table, you will find one line for each product found in the stock location. You will also find the sub-locations.

Only lines with a current quantity > 0 will be displayed in the table.

This table contains several columns:

  • Stock location

  • Current quantity

  • Future quantity

  • Unit

  • Average price

  • Rack: is a text field that allows you to leave comments about the stock location lines. This can be useful if you don't want to use the tree structure and avoid creating sub-locations. This column allows you to manually indicate that such and such a product is located in such and such “box”.

caution

The risk of the box entry is that the text information is not updated automatically, unlike the tree structure. Updating must therefore be done manually.

  • Include out of stocks products: when this option is activated, there will be lines for products that have been in this location, but whose current quantity and future quantity are 0.

You can export the contents in csv format by clicking on the cog icon on the right of these tables.

Stock location details tab

The Stock location details tab works in the same way as the content tab, but only displays lines for products with a tracking number.

Average Price

On the Stock Location sheet, you will find the Average Price value on the Stock location line (Location content tab), which is calculated each time stock is added to the location. It can be corrected manually if a stock entry has been incorrectly valued.

  1. Click on a line to modify the Average price, in edit mode on the stock location sheet.

  2. Update average price : in the new window, click on the “Update average price” button.

  3. Then, in the Average price field, enter the new value.

  4. Save the changes you have made.

  5. Refresh the Stock Location file so that the updated Average price value is displayed in the “Location lines” table.

The Average price can also be viewed on the product sheet. If you have multiple companies, it will be displayed in the “Products by company” table. In case of a single company, it will be displayed in the Stock tab. At item level, you will find a global average price value which corresponds to the weighted average of the product on all the sites where it is located.

It is also possible to define a “tolerance threshold” when calculating average price via the stock configuration “Tolerances on WAP change (%)”. If the Average price change exceeds the defined percentage, the user will be warned and can either confirm the move or return to editing. This feature is found on the page of stock configurations per company.

Stock location value

Stock location value is found on the stock location sheet.

It corresponds to the amount of stock in the direct location (and does not take sub-locations into account). It can be valued differently depending on the “Stock location value on form view” defined in the stock configuration:

Access: Application config → Apps management → Stock, configure → click on the Company file → in the Valuation section, select the "Stock location value on form view"

In the “Stock location value on form view” field, select one of several values:

  1. WAP value: calculated from global average price at product level.

  2. Accounting value: calculated from cost prices at product level.

  3. Sales value: calculated from sales prices at product level.

  4. Purchase value: calculated from purchase prices at product level.

  5. WAP of the stock location value: calculated from the average price of the stock location lines.

  6. Then select the “Inventory valuation type” from WAP Value / Accounting Value / Sales Value / Purchase Value / WAP of the stock location value.

Select the same values in the “Stock location value on form view” and “Inventory valuation type” fields for consistency.

Editing stocks

First configure the parameters for printing stock moves.

Access : Application config → Apps management → Stock, configure → click on the Company file → on the Stock configuration page, define the parameters in the Stock move printing settings.

Activate and deactivate the values that should appear on the document when it is printed.

Save the changes you have made.

From stock locations sheets, you can print reports of the location's contents and financial data. These documents can be exported in PDF and XLSX format.

These reports take into account all the sub-locations of the selected stock location and group the items by accounting family.The content of the location shows only the quantities, whereas the financial data adds the valuations.

Note that if the sub-locations are virtual, they will be displayed and valued in the report.

  1. On the Stock Location sheet, click on the “Print” button.

  2. In the print window, select the type of printout (Location financial data / Stock location content) and the type of export (PDF / XLSX).

  3. Click on Print.

note

If you select the “Location financial data” print type, please note that this print type is more complete and also contains the average price value.

Stock details by item

Access : Stock management → Stock details by product → select a product

On the “Stock details by product” sheet, you will find all the information (the indicators) such as the real quantity, future quantity, purchase order quantity, etc.

You can click on each indicator (for example, “Real quantity”) to display more details.

Access : Stock management → Products → Open a product sheet → click on Stock details

The product sheet contains excerpts from the indicators. In other words, when you open the product sheet, you will find the “Real quantity” and “Future quantity” indicators. To view all the indicators, click on “Stock details”.

Clicking on the “Stock details” button opens the “Stock details by product” window with all the indicators. You can also enter the Company (useful in the case of a multi-company operation).

caution

Be careful, because if the company has not been indicated on the product sheet, and you are working with multiple companies, the stocks will be displayed for all the companies in the “Stock details by product” window (“Stock details” button), which can cause confusion about the real stock situation by company.

The same logic applies to the “Stock details by product” sheet: when the company is not entered, and you are working with multiple companies, the stock will be displayed for all the existing companies, creating confusion about the actual stock situation for each company.

Real quantity

Real quantity: reflects the physical quantity in stock at the moment.

Future quantity

Future quantity: corresponds to the actual quantity + planned moves to the location selected on the “Stock details by product” sheet, taking into account the quantity of moves planned for the product from this location.

If no location has been defined in the Stock location field, movements will be planned by default for the company.

On the “Stock details by product” sheet, you can select a stock location. If no location has been defined in the Stock location field, moves will be planned for the company by default.

Sale order quantity

Sale order quantity: corresponds to the sum of the quantities of the sales order lines on the product whose order status is defined in the “Status considered to filter a sale order” configuration in the Supplychain App. You do not check whether or not the order has been delivered.

Access : Application config → Apps management → Supplychain, configure → in the “Stock details” section, set a value in the “Status considered to filter a sale order” field.

The “Status considered to filter a sale order” field offers several options: confirmed order / finalized quotation / draft quotation / completed order / cancelled.

You can select several options simultaneously.

For example, you can select “Confirmed order” and “Finalised quotation”.

Purchase order quantity

Purchase order quantity: corresponds to the sum of the quantities in the supplier order lines for the product whose order status is defined in the ‘Status to be taken into account in the supplier order filter’ configuration in the Supplychain App. You do not check whether or not the order has been delivered.

Access : Application config → Apps management → Supplychain, configure → in the “Stock details” section, set a value in the “Status considered to filter a purchase order” field.

The “Status considered to filter a purchase order” field offers several options: draft / requested / validated / finished / cancelled. You can select several options at the same time.

note

The “Status considered to filter a purchase order” must be differentiated from moves.

A confirmed order does not automatically mean a planned delivery.

Future quantities take moves into account.

However, if you have not generated planned moves associated with the customer/supplier order, there will be a discrepancy in the information displayed on the “Stock details by product” sheet.

Available stock

Available stock: available stock is equal to the actual quantity minus the quantity of products in stock locations whose configuration makes them unavailable minus the quantity of allocated products.

Quantity in production

Quantity in production: corresponds to the sum of the quantities of production orders (POs) to manufacture the product, whose status is defined in the ‘Status to be taken into account on production orders’ configuration of the Production App. In other words, the production orders consume products in order to manufacture another product. There is no check if the OF has been partially completed.

Production orders: these are the quantities of products that are being consumed on production orders as components, i.e. products that are used to manufacture a finished product. The product must be a component on a bill of materials.

Consume manufacturing order quantity

Consume manufacturing order quantity: corresponds to the sum of the quantities of manufacturing orders consuming the product, whose status is defined in the “Status considered to filter a manufacturing order” configuration of the Manufacturing App.

There is no check if the manufacturing order has already consumed the product.

Missing manufacturing order quantity

Missing manufacturing order quantity: quantity consumed by the production order minus the available stock.

  • If available stock < the quantity in consumption of manufacturing order

  • If it is greater, it becomes available and the value “Quantity missing from production orders” becomes 0.

This value is always positive, either 0 or more than zero.
