CRM app settings

Introduction

CRM: manage customer relations and prospects by tracking leads and prospects and creating new sales opportunities. Use the CRM to manage your events and appointments, and create sale quotations.

Configurations

Access : Application Config → Apps management → CRM, Configure → you will find yourself on the CRM Application page with various settings.

The options described below can be configured at CRM Application level.

Assignable Users

Assign customers to users (‘Account owner’ field). With this option, decide whether the customers are assigned to all users or only to certain groups of users. If the user selects ‘Some user groups’, the ‘Groups Assignable’ field will appear. For example, customers can be assigned to the sales group.

Display customer description in opportunity

This feature allows you to display the description of the customer in the opportunity. In this case, activate the ‘Display customer description in opportunity’ checkbox. Then, enter a description in the ‘Notes’ field on the customer record. The description will therefore be displayed in the opportunity if this checkbox is activated.

Manage catalogs

The ‘Manage catalogs’ checkbox: managing catalogs will activate the ‘Catalogs’ menu entry. It will save and store PDF catalogs, particularly if you sell different types of products, from different brands, which is useful for sales staff who want to access their product catalogs quickly. The menu entry appears in the CRM app.

Manage recurring opportunities

The ‘Manage recurring opportunities’ checkbox allows you to indicate the amount of recurring revenue you expect on an opportunity.

Default recurring duration (in months): indicate a default recurring period (in months). For example, if the company is selling a subscription contract for 1 year, it will be possible to indicate the duration of one year in the ‘Default recurring duration (in months)’ field.

Agencies management

The ‘Agencies management’ checkbox serves to associate leads or customers/prospects with agencies, so that you can then filter the leads or customers/prospects linked to certain agencies from a report. This makes it possible to share a referential across a company or different agencies if you have multiple agencies / establishments.

Remember to save and refresh the page after making any changes on the app configuration page.

Configurations by Company

Access : Application Config → Apps management → CRM, Configure → on the CRM application page, in the CRM configurations section, click on the company file to access the configurations by company.

  • On the configuration page by company: in the case of a multi-company system, it is possible to configure certain settings differently for each company.

  • Define email templates according to your needs (reminder / invitation / event etc).

Email templates can be configured from the menu Application config → Message → Templates.
